Program Payment & Enrolment Process
Please fill in all relevant child & parent information in the enrolment section. The emergency contact details are also required at the time of making the booking. Please then select all the dates that you would like your child to attend the school holiday program. You will have the option to choose from all of the days offered during the school holiday period. Your child's spot will then be held, until payment has been processed.
A statement will be sent out at the beginning of each working week. As you receive this, we ask that payment for all days attending is to be paid in full within 48 hours of receiving your statement through our parent portal on fully booked.
An enrolment for day camp will only be accepted once the enrolment form has been completed online and payment has been processed.
Cancellations/Refunds/Credits
You can make a cancellation within our school holiday program up to 7 days out from the date selected & you will still receive a refund. This allows us time to re-open the space for another child. If you make a cancellation within 7 days of your program date you will be charged & you will not receive a refund.
If the program cannot go ahead due to Covid 19 restrictions, we will offer the program fees as a refund or we can transfer them to another holiday program date. Late refunds can be granted for medical reasons, following the provision of a medical certificate.
Additional Fees
There will be an additional fee of $15 if you require an early drop off or late pick up. This must be arranged prior to the day & we will only cater for half an hour either side of the drop off/pick up times. This fee will help cover the cost of having an additional staff member onsite to supervise early drop off/late pick up.
Change in Enrolment Form Details
Please keep all details up to date. If you need to make changes, please go onto your parent portal & update as necessary. Administration must be notified of any change in address, contact numbers or persons authorised to collect a child after an enrolment has been processed. This is important & relevant if we have to contact you for emergency or medical reasons.
Supervision & Ratios
Kianinny Staff hold the Duty of Care (DOC)for the participant from the moment the participant is signed in & until they are signed out in the afternoon. Children are directly supervised at all times, with the exception of when they are in the bathroom. Staff will accompany children to and from the bathroom where viable but will not enter the bathroom with the child. It is assumed that children can be responsible at this time. Our program operates with a ratio of 1:15 instructor and participants whilst doing land based activities. The ratio is 1:12 with the addition of more instructors whilst participating in water activities. Children are constantly monitored during free time.
Medication, Behaviour, Illness, Hygiene, Accidents & Emergencies
- All child medication must be clearly labelled and packaged appropriately.
- Medication will only be administered on the condition that the medication record form has been completed and is signed by the parent.
- This process needs to be completed on arrival each morning.
- The program coordinator must be informed of any special considerations & staff need to be aware of medication and/or its administration.
- Children may retain asthma inhalers for self- medication.
- If a child becomes ill or exhibits symptoms of a communicable disease the coordinator will contact the parents and discuss appropriate action. If in the view of the coordinator the child needs to be picked up, the parent will be advised of this.
- We may not have the capacity to support children with additional needs. If your child has any special needs that we should be aware of, that may affect their physical or mental ability to participate in activities, we need to be made aware of this ahead of time.
- Children are required to wash their hands whenever using the bathroom and before meals & snacks. Since the bathrooms are not directly supervised, children are expected to take responsibility for their behaviour in these regards.
- You will be contacted to pick up your child, if we have any issues surrounding behaviour. We ask that children are respectful of all other participants, staff members, kianinny's property, guests onsite & all activity related equipment. If we feel for whatever reason your child is being difficult, not complying with instructions or misbehaving we will contact you.
- Day camp staff will administer appropriate first aid treatment for all incidents and accidents. If deemed necessary, an ambulance will be called by staff and any associated costs will be borne by the child’s parents.
Activity Groupings
'PLAY OUTDOORS' is for 6-9 year olds.
'EXPLORE OUTDOORS' is for 10-12 year olds.
Participants will complete most activities in their age group, along with all-group time shared at the beginning and the end of each day. We may run the program as mixed age groups alternatively, or split into 4 groups depending on numbers.
Daily Structure
Sign in must be done for each child on arrival. Activities may vary daily & are dependent on age. An overview of our program is as follows-
8.30am-9am- Arrival will take place at the Lakeside Pavilion, which is located behind our reception building, alternatively at the Bush Pavilion. If you need any extra help with administration or need to speak to our coordinator, please do so in our reception upon arrival.
9.15am- Welcome/Group Games
9.30am- Activity 1 (1 hour)
10.30am- Morning Tea (15mins)
10.45am- Activity 2 (1 hour)
11.45am-Packed Lunch / Free Time (45mins)
12.45pm- Activity 3 (1.15mins)
2.00pm- Activity 4 (1.15 mins)
3.15pm- Group Time
3.30-4pm- Departure ( pick up is to be done at the Lakeside Pavilion ) Each child must be signed out before you leave. We consistently monitor attendance.
